Tracking Book Inventory

As a language school, you may sell books, CDs, or other support material for your students.

Callan method schools, for example, are heavily book-centered, and need to keep track of how many books they have in stock for the different levels and languages supported.

This is also true for traditional schools. They usually have a preferred grammar book or guide specific to a given exam, such as TOEFL or IELTS.

NiftySchool allows you to track your inventory and automatically increase/decrease the amount of items in stock based on the payments you take.

Go to the Payment Categories configuration page and enable inventory tracking for specific payment types (e.g. Beginner’s Grammar Book)

Click on the payment type you want to edit, or create a new one. The number of items in stock will be displayed in the ‘Inventory’ column on the right.

You can enable/disable inventory tracking for different items individually. Once tracking is enabled, you can enter the amount of items you have in stock.

The amount of items in stock will automatically decrease when taking payments with this payment type. From the Payment Type details screen, you can also periodically update the number of items in stock (e.g., when you buy new books).

When taking a new payment, the number of items left in stock will be shown by the payment type.

If you record a payment by mistake, do not worry: The amount will increase by one if you decide to delete the payment, keeping the total amount automatically in sync.
