How to Send Emails to Your Students or Contacts

Last week, we covered how to track what your students/contacts are interested in, for marketing purposes.
It is easy in NiftySchool to find all of the students who, for example:
- are waiting for a class to be opened
- have left the school, and may be interested in another course
- are interested in exam training or specific courses
- …and so on..
Sending emails
Most of the times you want to find a specific list of students because you want to send them an email communication.
For example you want to inform your contacts that you’re opening a new evening class.
We have just introduced a function that easily integrates NiftySchool with your email editor (e.g.: Outlook) so that you can quickly trigger emails to search results, without downloading excel spreadsheets and populating the recipient list manually.
Step 1: Perform a search
You can search for students by status (Students tab, on the right hand side), or use the advanced search that gives you more flexibility.
Once you click ‘Search’, you will see the list of matching results at the bottom of the page.

Step 2: Click ‘Send Email’
In every search results page, you will have the ability to send an email to the students shown.
The ‘Send Email’ button does not send and email straight away, it collects the email students’ email addresses for you to review first.

Step 3: Review the numbers
Once you clicked ‘Send Email’ you will be presented with a screen that recaps how many students you will send your email to.
This is important as not all of them may have an email associated, and you may miss someone.
At the bottom of the page you will see a list of these students, so that you can amend their details if needs be.

Step 4: Edit email and send
Once you are happy with the numbers, click on “Send using your email editor”. This will open your Outlook (or email editor of choice), auto-populating the recipients for you:

The recipients are set in the BCC field, so that email addresses don’t get mistakely shared with everyone.
Note that NiftySchool doesn’t send the email, it just help you prepare your email in Outlook. This assumes that you want to send the same email to all of the selected students.
The last thing you have to do is to fill in your email message and hit send, without worrying about keeping your Email client and database of students in sync.
This tiny function should speed up your marketing activities and help you keep information in a single place.
